Director, Operations & Accounting
Technical Assistance Partnership of Arizona, an affiliate organization of Vitalyst Health Foundation, is a 501(c)(3) offering fiscal sponsorship and fiscal agency in the state of Arizona. Currently, TAPAZ serves as the fiscal sponsor for approximately 60 nonprofit organizations, acting as the lead organization on grants and contracts and responsible for all governance, legal, and financial activities as they relate to these projects. The Director, Operations & Accounting is a new position on the fiscal sponsorship team. He/she will be responsible for ensuring the proper functioning of all financial and operational systems related to the fiscal sponsorship program. This will include computerized systems such as accounting, AP (web-based), payroll, and credit card processing as well as policies, procedures, and contracts to protect the organization and ensure compliance with federal, state, and local funder requirements.
• The Director, Operations & Accounting at TAPAZ will blend the responsibilities of controller, operations manager, internal auditor, and risk manager. S/he must be able to critically evaluate actions and policy/procedural changes and their potential implications on organizational efficiency, staff and partner response, and potential legal/financial/reputational consequences. This position reports directly to the Executive Vice President.
• In concert with leadership, the Director will develop and implement programs to support the sponsored projects and to build their internal capacity to grow their community impact.
• The Director will present to members of the Board of Directors as needed to share the status of current projects.
• The Director will remain current on federal and state guidance regarding grant compliance.
• The Director must, to the best of his/her ability, anticipate changes that will affect the ability of the organization to carry out its mission and the ability of staff to work effectively and develop solutions to accommodate for these changes.
• Review monthly, quarterly, and annual financial statements for presentation to the Audit/Finance committee.
• Assist in the preparation of all work papers and schedules for completion of annual audit and informational tax returns.
• Share responsibility for accounting functions including accounts payable, general ledger, payroll, bank reconciliation, and monthly closing.
• Work with legal counsel, as necessary, to remain in compliance with issues pertaining fiscal sponsorship/agency.
• Work with insurance brokers to ensure comprehensive coverage.
• Work with outsourced payroll company to ensure all required benefits are available to all eligible employees, update the employee handbook as needed, and assist in onboarding and offboarding if needed.
• Draft, review, and edit policies, as necessary, to maintain grant compliance with government funders.
• Supervise two staff (accounting and outreach).
Skills and Attributes
• Ability to perform tasks with a high degree of accuracy and attention to detail, as well as an ability to take initiative and anticipate informational needs as situations and projects develop.
• Knowledge of GAAP as applicable to not-for-profit organizations.
• Computer skills, including high proficiency in Microsoft Excel and ability to efficiently utilize web-based sites such as banks, financial institutions, PayPal, etc.
• Ability to exercise tact, diplomacy, judgment, and discretion, particularly related to sensitive or confidential information.
• Approachable and respectful manner and ability to comfortably interact with people from many different backgrounds.
• Sense of humor, flexibility, and ability to contribute to a collegial, respectful, and supportive office environment.
Preferred Candidates Possess:
• Experience working in the nonprofit sector.
• Experience accounting for foundation and government grants and contracts.
• Experience working with MIP Fund Accounting.
• Experience reviewing contracts and other legal documents.
• CPA with audit experience.
Required education: Bachelor’s degree in accounting, general business or related subject (Master’s degree or CPA preferred)
Required Experience: Seven years of relevant, progressively responsible work experience in accounting, operations, or similar job function.
